Kanacapture is a service operated by Kanastruk Services Conseils Inc. We take the protection of your personal information seriously. This policy explains what information we collect, why, how we use and protect it, and the rights you have. It complies with Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25.

1. Who is responsible for your information

Kanastruk Services Conseils Inc. is responsible for the personal information it collects and holds. We have designated a Privacy Officer (responsable de la protection des renseignements personnels):

2. Information we collect

  • Account information: first and last name, email, organization, role.
  • Content you provide: uploaded photos, inventory data, descriptions, catalogs and other content created in the service.
  • Usage information: technical logs needed for operation, security and support.

We do not collect sensitive information in the course of our activities.

3. Why we collect this information (purposes)

  • To provide and operate the Kanacapture service (creating and managing visual inventories);
  • To perform AI-assisted analysis of the photos and inventories you upload;
  • To manage your account, provide support and communicate with you;
  • To ensure security, prevent fraud and meet our legal obligations.

4. Consent

By using Kanacapture and providing us with information, you consent to its use for the purposes described above. You may withdraw your consent at any time by writing to us; this may limit your ability to use the service.

5. Sharing your information

We do not sell your personal information. We rely on service providers (processors) who handle it only on our behalf and under contractual confidentiality obligations, including:

  • Google (Google LLC / Google Cloud, Firebase) — authentication, database, storage and hosting;
  • Google (Gemini API) — to perform AI analysis of the photos and inventories you upload;
  • Google Maps Platform (Places API) — for address autocomplete and verification;
  • Resend — to send transactional emails.

We may also disclose information where required by law or to respond to a request from a competent authority.

Hosting and processing outside Quebec: Several of these providers store or process your information outside Quebec, including elsewhere in Canada and in the United States. Before entrusting information to them, we conduct a privacy impact assessment (PIA) and ensure adequate protection through contractual commitments.

6. Retention and destruction

We retain your information for as long as your account is active and as long as necessary to fulfill the purposes described or to comply with the law. When those purposes are met, or upon a request to delete your account, we securely destroy or anonymize your information.

7. Cookies and tracking technologies

Our website and application use essential cookies only (for example, to maintain your authentication session). They are not used to track or profile you and do not require your consent. We use no analytics, advertising or retargeting tools.

8. Security

We implement reasonable technical, physical and organizational security measures to protect your information against loss, theft and unauthorized access: encrypted communications (HTTPS), access controls and internal incident procedures.

In the event of a confidentiality incident presenting a risk of serious harm, we will notify the affected individuals and the Commission d'accès à l'information du Québec (CAI), as required by law.

9. Your rights

Under Law 25, you may access your information, have it corrected, request its deletion (right to be forgotten, where applicable), request its portability in a structured, commonly used format, and withdraw your consent.

To exercise any of these rights, write to our Privacy Officer (section 1). We will respond within a maximum of 30 days, free of charge.

If you believe we have not respected your rights, you may file a complaint with the Commission d'accès à l'information du Québec: www.cai.gouv.qc.ca.

10. Changes to this policy

We may amend this policy. The current version is always available on our site, with its last-updated date.
