At Réutilisons (a service operated by Kanastruk Services Conseils Inc.), we take the protection of your personal information seriously. This policy explains what information we collect, why, how we use and protect it, and the rights you have. It complies with Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25.

1. Who is responsible for your information

Réutilisons is responsible for the personal information it collects and holds.

We have designated a Privacy Officer (responsable de la protection des renseignements personnels) whom you can contact for any question, request or complaint regarding your personal information:

2. Information we collect

We only collect the information necessary for our activities. Depending on your interaction with us, this may include:

  • Identification and contact information: first and last name, email, phone number, name of the organization you represent.
  • Information about your organization: non-profit status, Quebec enterprise number (NEQ), mission or field of activity.
  • Information about your needs: categories of items you are interested in, the content of your interest form and requests.
  • Communication preferences: your consent to email alerts and the newsletter.
  • Technical information: browsing data strictly necessary for the site to function (see section 7).

We do not collect sensitive information (health, biometric data, etc.) in the course of our activities.

3. Why we collect this information (purposes)

We use your personal information for the following purposes:

  • To process your interest form and requests;
  • To match you with surplus inventory that fits your needs;
  • To communicate with you about your request and coordinate delivery or pickup;
  • To send you, if you have consented, email alerts about newly available items in the categories you selected, as well as our newsletter;
  • To improve our services and ensure our site functions properly.

We do not use your information for any other purpose without obtaining your consent.

4. Consent

By submitting a form on our site, you consent to Réutilisons collecting and using the information provided for the purposes described above.

Consent to marketing communications (email alerts and newsletter) is separate and optional: it is collected through separate, non-pre-checked checkboxes. You may withdraw your consent at any time without affecting the processing of your request, by writing to us or using the unsubscribe link in our emails.

5. Sharing your information

Réutilisons does not sell your personal information.

We may disclose certain information only in the following cases:

  • To our service providers (notably cloud hosting and the email delivery service), strictly for the purposes described and under contractual confidentiality obligations;
  • Where required by law or to respond to a request from a competent authority.

Hosting and processing outside Quebec: Some of our service providers (notably our cloud hosting provider and our email delivery service) may store or process your information outside Quebec, including elsewhere in Canada and in the United States. Before entrusting such information to these providers, we conduct a privacy impact assessment (PIA) and ensure they provide adequate protection through contractual commitments.

6. Retention and destruction

We retain your information only for as long as necessary to fulfill the purposes for which it was collected, or as long as required by law.

As an indication, information related to an interest request is kept for up to 24 months after your last interaction with us. When the purposes are met, we securely destroy or anonymize your information.

7. Cookies and tracking technologies

Our site uses essential cookies only, needed for it to function properly. They are not used to track or profile you and do not require your consent. We use no analytics, advertising or retargeting tools.

8. Security

We implement reasonable technical, physical and organizational security measures to protect your information against loss, theft and unauthorized access. This includes encrypted communications (HTTPS), restricted access to data and internal incident procedures.

In the event of a confidentiality incident presenting a risk of serious harm, we will notify the affected individuals and the Commission d'accès à l'information du Québec (CAI), as required by law.

9. Your rights

Under Law 25, you have the right to:

  • Access the personal information we hold about you;
  • Have corrected information that is inaccurate, incomplete or ambiguous;
  • Request the deletion or de-indexing of your information (right to be forgotten), where provided by law;
  • Request the portability of your information, namely its transmission in a structured, commonly used technological format, to yourself or to the organization of your choice;
  • Withdraw your consent at any time.

To exercise any of these rights, write to our Privacy Officer (contact details in section 1). We will respond within a maximum of 30 days. This service is free.

If you believe we have not respected your rights, you may file a complaint with the Commission d'accès à l'information du Québec: www.cai.gouv.qc.ca.

10. Changes to this policy

We may amend this policy to reflect changes in our practices or in regulations. The current version is always available on our site, with its last-updated date.
